For referring clinicians

This portal is for general practitioners, specialists and other clinicians referring a patient for urology assessment. It captures the clinical detail needed for triage and allows investigations, imaging reports and letters to be attached securely, so that nothing has to be sent by unencrypted email.

What to include

  • The clinical question you want answered
  • Relevant history, current medicines and allergies
  • Investigations already performed, with results or reports attached
  • Your assessment of urgency, and why
  • The best way and time to reach you if the clinic needs to discuss the case

How referrals are triaged

Each referral is reviewed by a clinical member of the team. Referrals marked urgent are assessed ahead of routine ones, and where a referral suggests a concern needing prompt review the clinic will contact you rather than waiting. You receive a reference number on submission and are kept informed of the outcome.

Information governance

Attached documents are stored in private storage and are accessible only to clinical members of the clinic team — administrative and marketing roles cannot open them. Access is logged. Please ensure you have the patient's agreement to refer before submitting.

After you submit a referral

You receive a reference number immediately. A clinical member of the team reviews the referral, checks the attached investigations, and assigns it to the appropriate specialist and clinic. If anything essential is missing, or if the case would be better served by a different pathway, the clinic contacts you rather than returning the referral without explanation.

The patient is contacted directly to arrange an appointment, and the referring clinician is informed of the outcome so that follow-up care continues without duplication.

Referring from another territory

Referrals are accepted from clinicians across the region. Indicate in the referral whether the patient can travel, and whether a virtual first consultation would be acceptable; this materially affects how quickly the patient can be seen. Where a visiting clinic is scheduled in the patient's territory, the team will try to align the appointment with it.

If the patient needs urgent care

This portal is not monitored continuously and must not be used for emergencies. Patients requiring immediate assessment should be directed to emergency services or admitted through the usual local pathway.

The clinic aims to acknowledge referrals within two business days, with urgent referrals triaged first.
What file types can I attach?
Common document and image formats are accepted. If a file will not upload, note this in the referral and the team will contact you.
Will I be informed of the outcome?
Yes. The referring clinician is kept informed so that care continues rather than restarting.
Can a patient refer themselves instead?
Yes. Patients can submit an appointment request directly; a clinician referral simply adds clinical context for triage.
